Dedicated to providing excellent customer service through our signature partnership approach, combining this with our valued team workforce, Sansum are ISO 9001 QMS certified and are passionate ensuring that all our processes and procedures are regularly reviewed and monitored in keeping with our Quality Policy.  Any non-conformities found are assessed and improved upon with Sansum taking relevant actions to ensure that it continues to meet best practice remaining compliant across our entire service delivery operations, from cleaning, caretaking through to site and soft facilities management.

As part of Sansum’s transparent account management process, Sansum will produce detailed reports evidencing all areas of compliance through conducting regularly service reviews which are measured by KPI’s ranging from staffing levels, health & safety, finance and management, operational systems and service performance on all our cleaning and caretaking standards.

Sansum will produce detailed management information reports demonstrating our compliance available through our secure GDPR compliant Client online portal containing, as a minimum, the following information:

  1. Finance and management – staff target hours breakdown per month, efficient use of systems in place, level of management support, complaints register together with actions and remedies;
  2. Operational systems – Cleaning schedules aligned with grid specifications and fully implemented training and development plan for all staff, equipment inventory and stock check maintained, cleaning cupboards organised and tidy with regular waste removal, sorted, compacted, recycled as appropriate;
  3. Hygiene, Health & Safety – all staff competent including completion of mandatory and ongoing training for health & safety compliance, all equipment regularly PAT tested, audit trails maintained and checked, COSHH and RAMS in situ (site folder check);
  4. Staffing – uniform and ID for all staff regularly monitored and checked together with enhanced DBS checks and reference numbers available for customer. Personal hygiene check including five point hand washing training observed and adequate PPE supplies readily available for all staff. Professionalism of staff and always presentable;
  5. Aesthetics and Standarads – regular monthly quality audits performed assessing cleaning standard and scoring each area, evidenced in a report to the client, lock up and alarm procedure carried out successfully, number of alarm call-outs if appropriate, keyholder registration maintained and all compliance checks and certifications audited.

Regular monitoring of the standard of cleaning and caretaking will be regularly maintained through our properly trained and competent Customer Account Managers (CAM’s).  This includes overseeing and ensuring that all training and development programmes are carried out regularly for all staff evidencing adherence to our Health & Safety policy in compliance with Health & Safety regulations and for which Sansum maintain their Alcumus SafeContractor accreditation.  Refresher training by way of toolbox talks are carried out on a monthly basis as a minimum for all our cleaning and caretaking teams.
